This Privacy Notice for J Pak Coaching Inc. (doing business as Academic & Career Mentors) ("we," "us," or "our"), describes how and why we might access, collect, store, use, and/or share ("process") your personal information when you use our services ("Services"), including when you:

  • Visit our website at acmentors.com or any website of ours that links to this Privacy Notice;
  • Use Academic and Career Advisory. Academic & Career Mentors provides boutique academic and career advisory services, including UC transfer consulting, college admissions guidance, mentoring, and essay-evaluation tools, to students and families; or
  • Engage with us in other related ways, including marketing or events.

What personal information do we process? We process information depending on how you interact with us, the choices you make, and the Services you use.

Do we process any sensitive personal information? Student essays and communications may voluntarily reveal sensitive information, such as health, disability, racial or ethnic origin, religious beliefs, sexual orientation, family hardship, or safety concerns. We do not require this information unless it is relevant to a Service you request, and we apply the limits described below.

Do we collect any information from third parties? We may receive limited information from a parent or purchaser, payment processor, scheduling or communications provider, school when it has authorized the Service, and analytics or security providers.

How do we process your information? We process information to provide, improve, and administer the Services, communicate with you, protect the Services, and comply with law.

Do we use Student Content to improve AI? AI-assisted processing needed to deliver an evaluation is part of the Service. We do not use identifiable Student Content for model training or comparable secondary product improvement without a separate affirmative choice. For a Student under 18, that choice requires parent or legal-guardian authorization and the Student's assent.

Personal information you disclose to us

In Short: We collect personal information that you provide to us.

We collect personal information that you voluntarily provide when you request information, participate in the Services, submit content, make a purchase, schedule a consultation, or contact us.

  • Names, email addresses, phone numbers, and account credentials;
  • Student age band or date of birth used to determine eligibility;
  • Parent, guardian, purchaser, and emergency-contact information where applicable;
  • Billing, transaction, and limited payment information (full card details are ordinarily handled by our payment processor);
  • Student Content, including essays, drafts, questionnaire responses, messages, and files;
  • Education, application, scheduling, and service-preference information;
  • Communications, support requests, feedback, and consent records; and
  • Evaluations, scores, inferences, and reports generated from Student Content.

Sensitive Information. Student Content may voluntarily include sensitive personal information. We process it to provide the requested Service, address safety or legal obligations, and only with the separate consent described in this Notice for model training or comparable secondary improvement. Please avoid unnecessary sensitive details and do not submit government identifiers, account passwords, or complete medical records.

Information automatically collected

In Short: Some information, such as Internet Protocol address and browser and device characteristics, is collected automatically when you visit or use the Services.

We may collect device and usage information, including IP address, browser and device characteristics, operating system, language preference, referring URLs, device name, approximate location derived from IP address, pages or files viewed, feature interactions, timestamps, diagnostics, and security events. We use cookies and similar technologies as described below and in our Cookie Notice.

2. HOW DO WE PROCESS YOUR INFORMATION?

In Short: We process information to provide, improve, and administer the Services, communicate with you, protect the Services, and comply with law. Depending on context and applicable law, our legal basis may be performance of a contract, legitimate interests, legal obligations, protection of vital interests, or consent.

  • To create and administer accounts, verify age-band eligibility, process purchases, schedule services, and deliver reports and mentoring;
  • To analyze Student Content using our methodology, AI-assisted tools, and human review to provide the requested Service;
  • To respond to inquiries, provide support, request feedback, and send administrative or service messages;
  • To send marketing communications in accordance with your preferences and applicable law;
  • To maintain, secure, troubleshoot, and measure the Services and prevent fraud or misuse;
  • To comply with legal obligations, enforce agreements, and establish or defend legal claims; and
  • To protect a Student or another person, including responding to suspected child abuse or neglect or a serious and imminent risk of harm.

Optional AI and methodology improvement. We may use identifiable or reasonably linkable Student Content to train or fine-tune models, evaluate training datasets, or conduct comparable secondary product improvement only after a separate, specific, unselected opt-in. Consent to receive the paid Service is separate. For a Student under 18, a parent or legal guardian must authorize this use and the Student must assent. We do not apply a new training permission retroactively to content collected under an earlier promise.

Deidentified and aggregate information. We may use aggregate statistics and information that has been reasonably deidentified so that it cannot reasonably be linked to a Student.

3. WHEN AND WITH WHOM DO WE SHARE YOUR PERSONAL INFORMATION?

In Short: We disclose information only as reasonably needed for the Services, with consent, for safety or legal reasons, or in a business transaction.

Recipients may include hosting, cloud, security, communications, scheduling, payment, analytics, customer-support, and AI service providers; professional advisers; a parent, guardian, or purchaser where appropriate for administration or safety; child protective services, law enforcement, courts, emergency services, or other persons when required or reasonably necessary for safety; and a buyer or successor in a merger, financing, sale, or acquisition. Service providers may process information only for contracted purposes and must protect it. We configure AI providers not to use Student Content for their own model training unless the separate improvement consent expressly covers that use and our contract permits it.

Student safety and confidentiality. Student communications are private but are not legally privileged or absolutely confidential. We may disclose information to report reasonably suspected child abuse or neglect, comply with law, or address a serious or imminent risk of harm. When permitted and consistent with safety, we limit the disclosure to information reasonably necessary for the purpose.

4. DO WE USE COOKIES AND OTHER TRACKING TECHNOLOGIES?

We use cookies and similar technologies for security, essential functions, preferences, analytics, and on public marketing pages, advertising where permitted by your cookie choices. We do not place cross-context behavioral-advertising trackers in authenticated Student Content submission or report areas, and we do not knowingly use information from a person under 16 for targeted advertising. Where applicable, you may opt out of a sale, sharing, or targeted advertising through our cookie controls or a recognized opt-out preference signal such as Global Privacy Control. Our Cookie Notice identifies the current technologies and choices.

Google Analytics. We may use Google Analytics to understand use of public pages. You can use our cookie controls or Google's browser opt-out tool. We configure analytics consistent with the choices and restrictions described above.

5. HOW LONG DO WE KEEP YOUR INFORMATION?

Your information may be retained when it is needed to complete the Service, resolve a dispute, protect safety, comply with law, or honor a separately authorized improvement use. When a retention period ends, we delete, deidentify, or isolate information until deletion is technically feasible.

6. HOW DO WE KEEP YOUR INFORMATION SAFE?

We maintain reasonable administrative, technical, and physical safeguards appropriate to the nature of the information, including access controls, vendor review, secure transmission where appropriate, staff confidentiality, and incident-response procedures. No system is completely secure, so we cannot guarantee absolute security.

7. DO WE COLLECT INFORMATION FROM MINORS?

Our Services are intended for students age 13 and older and for adults assisting them. We do not knowingly permit a child under 13 to create an account, submit Student Content, or use the Services. We use a neutral age screen before account registration and do not knowingly collect personal information from a child under 13. If we learn that we did, we will take reasonable steps to delete it. A Student age 13 through 17 may register for a self-service evaluation without a parent-managed account; paid, recurring, or one-to-one mentoring may require an adult purchaser, parent or guardian authorization, or emergency contact. Optional use of a minor Student's Content for model training or comparable secondary improvement is off by default and requires parent or legal-guardian authorization plus the Student's assent. We do not knowingly sell or share for cross-context behavioral advertising the personal information of a person under 16.

8. WHAT ARE YOUR PRIVACY RIGHTS?

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information; withdraw consent; appeal a request decision; and opt out of targeted advertising, sale, or certain profiling. These rights are subject to applicable exceptions.

You may withdraw consent by contacting us at jpak@acmentors.com. Withdrawal does not affect processing already lawfully completed and may not remove deidentified information or information already incorporated into a model after the disclosed cutoff. You can unsubscribe from marketing emails using the link in the message. We may still send service and administrative communications.

For a minor Student, we may take reasonable steps to verify whether a requester is the Student, a parent or legal guardian, or another authorized person, and we balance access requests with applicable law and the Student's safety and privacy.

9. CONTROLS FOR DO-NOT-TRACK FEATURES

Because no uniform standard governs legacy Do-Not-Track signals, we do not treat a DNT signal as a universal opt-out. Where applicable law requires it, we recognize Global Privacy Control or another legally valid opt-out preference signal for sale, sharing, or targeted advertising. You may also use our cookie controls.

10. DO UNITED STATES RESIDENTS HAVE SPECIFIC PRIVACY RIGHTS?

Residents of certain U.S. states may have the rights described above when the applicable statute covers us and the processing. We honor verified requests as required by law and may voluntarily honor a request when a statute does not apply. We may verify identity and authority, and an authorized agent may be required to provide signed permission.

Sources, Uses, Disclosures, and Retention

We collect information from you, a parent or purchaser, your device, and the service providers described above. We use and disclose it for the purposes in Sections 2 and 3. Retention is described in Section 5.

We do not sell personal information for money. Advertising cookies on public marketing pages may constitute "sharing" or targeted advertising under some state laws. Where those laws apply, you may opt out through our cookie controls or a recognized opt-out preference signal. We do not knowingly sell or share for cross-context behavioral advertising personal information of a person under 16, and we do not seek authorization to do so. Disclosures to service providers for contracted business purposes are described in Section 3.

How to Exercise Your Rights

Email jpak@acmentors.com or use the Website's data-subject request form. We will verify requests using information appropriate to the request's sensitivity. If applicable law gives you an appeal right, you may appeal a denial by emailing the same address with "Privacy Appeal" in the subject line.

California "Shine The Light" Law

California Civil Code section 1798.83 permits qualifying California residents to request certain information about personal information disclosed to third parties for their direct-marketing purposes during the preceding calendar year. Submit a written request using the contact information below.

11. DO WE MAKE UPDATES TO THIS NOTICE?

We may update this Privacy Notice from time to time. The updated version will be identified by the revised date above. If a change is material, we will provide reasonable notice through the Website, the Service, email, or another appropriate method. We will not apply a materially broader AI-training or comparable secondary-use permission retroactively to previously collected Student Content without any consent required by law and the commitments in effect when the content was collected.
